1. Acceptance of terms

These terms govern your use of this website and your interactions with The Organization of Women Pillar (“Women Pillar”, “we”, “us”). By browsing the site, submitting a form, or making a donation, you agree to them. If you do not agree, please do not use the site.

If you are under 18, please review these terms with a parent or guardian before submitting any personal information to us.

2. Use of this website

You agree to use this site lawfully and respectfully. In particular, you agree not to:

  • submit false, misleading or deliberately harmful information through our forms;
  • attempt to gain unauthorised access to any part of the site, its servers or databases;
  • use automated systems to scrape, overload or disrupt the site;
  • upload or transmit malicious code of any kind;
  • impersonate Women Pillar, our staff or our volunteers, including in any request for money;
  • use our name, logo or materials to solicit funds without our written authorisation.

We may restrict or withdraw access to the site where we reasonably believe these terms have been breached.

3. Content & intellectual property

Unless stated otherwise, the text, images, graphics and design on this site belong to Women Pillar or are used with permission. You may read, share and quote our material for personal, educational or non-commercial purposes, provided you credit us and do not alter the meaning.

Commercial reproduction, or any use of our name and branding in fundraising, requires our written permission. If you believe material on this site infringes your rights, please contact us and we will review it promptly.

Information on this site is provided for general awareness. It is not legal, medical, financial or professional advice, and it should not be relied upon as a substitute for advice from a qualified professional who knows your circumstances.

4. Donations

  • Use of funds. Unrestricted donations are applied wherever need is greatest, including a stated share towards coordination, accounting, safeguarding and monitoring. Restricted donations are applied exactly as designated.
  • When a designated need is met. If a restricted purpose is already fully funded or becomes impossible to deliver, we will contact you to agree an alternative use. Where we cannot reach you within a reasonable period, we may apply the gift to a closely related purpose.
  • Refunds. Donations are generally non-refundable. If you have donated in error, by duplicate transaction, or as a result of fraud, contact us within 30 days and we will review the request and refund where appropriate.
  • Receipts. We issue an acknowledgement for donations where we have your contact details. Please quote your transfer reference so we can match your gift.
  • Payment channels. Only the channels published on our donate page are authorised. We will never request your bank password, PIN or one-time code, and we do not take card details by phone.
  • Tax treatment. Any tax relief on your donation depends on your own circumstances and the law of your country. Please take your own advice.

5. Volunteering & safeguarding

Everyone who may come into contact with children or vulnerable adults through our work must complete background screening and safeguarding induction beforehand. This applies to short-term volunteers and visiting groups as well as staff.

Volunteers agree to follow our safeguarding policy, including the rules on photography, confidentiality, personal contact details and one-to-one contact. We may end a volunteer arrangement at any time where we consider it necessary to protect the people we serve.

Concerns about the conduct of anyone connected with our work should be raised with our safeguarding lead. An external reporting contact is available on request so that reporting need not run through our own staff. Where there is a risk of immediate harm, contact the police or the relevant child protection authorities first.

6. Privacy & data protection

We handle personal data in line with the Kenyan Data Protection Act and, where relevant, the expectations of international supporters and funders.

What we collect

  • Details you give us directly: your name, email address, phone number and the content of your message when you use our contact form.
  • Donation records: amount, date, channel and any reference or designation you provide.
  • Volunteer and partner information where you apply to work with us.
  • Basic technical information such as anonymised usage statistics and server logs.

Why we use it

  • To respond to your enquiry and keep a record of the conversation.
  • To process, acknowledge and account for donations.
  • To send programme updates where you have asked to receive them.
  • To meet our legal, audit and reporting obligations.
  • To keep the website secure and functioning.

What we do not do

We do not sell, rent or trade personal data. We do not share your details with other organisations for their own marketing. We share information with service providers only where necessary to operate (for example email or hosting providers), and with authorities where the law requires it or where a person is at risk of serious harm.

Beneficiary data

Case records concerning children and vulnerable adults are held under stricter conditions than general contact data: restricted access, secure storage, and no publication of identifying details. Stories are shared only with informed consent, and images of children follow the consent rules in our safeguarding policy.

How long we keep it

Enquiries are kept for up to two years. Donation records are kept for the period required by financial and audit rules. Safeguarding records are retained for longer where child protection standards require it.

Your rights

You may ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it where we have no continuing obligation to keep it, and withdraw consent to receive updates at any time. Contact us and we will respond within a reasonable period.

7. Cookies

This site uses only the cookies needed to make it work — for example, keeping your session secure and protecting forms against cross-site request forgery. These are essential to the operation of the site and cannot be switched off.

If we later add analytics or embedded content from other services, we will update this section and, where required, ask for your consent first.

8. Disclaimers & liability

We work to keep this site accurate and available, but we do not guarantee that it will be uninterrupted, error-free, or that every figure remains current — programme costs in particular change over time.

Where the site links to other organisations, those links are provided for convenience. We are not responsible for the content, accuracy or privacy practices of external sites.

To the fullest extent permitted by law, we are not liable for indirect or consequential loss arising from your use of this site. Nothing in these terms limits liability that cannot be limited by law.

9. Changes to these terms

We may update these terms as our work, our systems or the law change. The revised version takes effect when published here, and the date at the top of this page will be updated. Significant changes affecting donors or volunteers will be communicated directly where we hold contact details.

10. Governing law & contact

These terms are governed by the laws of Kenya, and the Kenyan courts have jurisdiction over any dispute arising from them.
